FAQ: Uploading Documents
Digitize Documents
- Documents should be in PDF format. If your documents are not already in PDF format, then our application system will convert your documents into PDF format, but sometimes this causes errors. Please check your documents to make sure they have been uploaded properly before submitting your application.
- You may use a mobile device such as a smartphone or tablet to take a picture of the documents or use a mobile scanner app like Adobe Scan. If you do so, please ensure that the picture or scanned document is clear and the file uploads properly.
- Additionally, you may use a scanner to create a file that can be uploaded. Please ensure that the document is straight, clear and there are no missing pages.
- If you have multiple files which are all related, then merge documents into a single PDF document.
- It is the responsibility of the applicant to check each document to make sure it has been uploaded properly.
Upload Documents to Application
- In the Documents Needed to Apply section of the application, click the button for the required document you would like to upload.
- Be sure that your name and the Job Posting Number are clearly printed on the document.
- You can add a description (optional) to provide information about the document.
- Click on Choose File and locate your desired document. Click Open.
- After you've chosen your file, click Add to my Application to upload it to your application.
- Verify that all documents have been uploaded correctly with no errors, and ensure all documents are clear and readable.
If you receive a notification of an "upload error" or "conversion error", then HR will not be able to view your document(s), which risks your application being considered incomplete.
There are a few common errors when uploading your documents. Here are those common errors and their solutions.
- File size: File size is limited to 10 MB. If your files are too large, then you can try the following to reduce the size:
- Scan documents at a lower resolution that keeps the quality of the documents and permits smaller file size.
- Eliminate graphics.
- Scan in black and white instead of color.
- Separate documents into separate attachments (for example, transcripts can be scanned into two to five different PDFs, if necessary).
- Corrupted file: Print the document to a new PDF, print a copy and scan it, or print a copy and take a picture with your phone.
- Time out: If you time out of the jobs portal, log in again and continue uploading your documents.
- Transcripts: Only upload unofficial transcripts. Official transcripts are often encrypted or password-protected.
