Follett Account Setup
Coronavirus and Campus Closures
The Follett team will not be on campus operating the physical college store locations until the Coronavirus restrictions are lifted. Summer course materials and a variety of other supplies will be available through the bookstore website.
The types of products that can be ordered may be limited due to lack of physical access. Once the physical stores are opened, the full assortment of product stocked in the store will be available.
Account Setup Instructions
Attention Students
These instructions do not apply to students setting up individual accounts with Follett. Please visit the bookstore website to set up an individual account.
The following information is for faculty, staff, and external agencies.
Follett offers a variety of flexible solutions to enable students and college departments to obtain course materials and other products from the online and on-campus bookstores. We realize that there is a high degree of variability in how college departments use the bookstores to support their students and/or their departmental needs.
If you have questions about setting up an account that are not covered in the following documentation, then please contact the college's bookstore manager (see college store contact information).
Department/Program Purchases
Use the following process for bookstore(s) purchases intended for the use of the college department or program – for example, office supplies or textbooks for a lending library.
If your department/program will be providing financial aid for students to use individually at the bookstore(s), then see the district/college-managed financial aid guidelines.
If you do not already have an account, then send an email request for your department/program to the college bookstore manager (see college store contact information). The bookstore manager will then:
- Provide an account number to be included with your district purchase order
- Confirm any purchase restrictions on the account (for example, supplies only or textbooks only)
After Follett has provided an account number for your department/program, you will need to follow the standard purchase order (PO) process for district or campus-based funds, as applicable, in order to make purchases with Follett.
Please include the account number provided by Follett when you submit the requisition. Only those individuals you authorize via the PO process are allowed to make purchases on the Follett department/program account.
After Follett receives the PO for your department/program account, authorized purchasers may begin making purchases on the account, subject to any established product type restrictions (for example, supplies only or textbooks only).
Email purchase requests to the college bookstore manager from your district/college email account (see college store contact information).
District/College-Managed Financial Aid
Common examples of district- or college-managed financial aid include EOPS, CalWORKs, Promise Program, and Los Rios Colleges Foundation textbook scholarships. Use the following process to allow individual students to make purchases using financial aid funds at the bookstore(s).
If you do not already have an account, then send an email request for your department/program to the college bookstore manager (see college store contact information). The bookstore manager will then:
- Provide an account number to be included with your district PO
- Confirm any purchase restrictions on the account (for example, supplies only or textbooks only)
- Request the initial list of students and the amount they are authorized to spend at the bookstore(s)
Please note that the student ID number you send to us will be used as the ID number of record, so it must match the student's Los Rios student ID number. For example, if the student ID number is 0001234 and you send the student record as 1234 (without the leading zeroes), then the student will not be able to complete an online or in-store purchase.
After Follett has provided an account number for your department/program, you will need to follow the standard PO process for district or campus-based funds, as applicable, to complete the authorization process.
Please include the account number provided by Follett when you submit the requisition. Students will not be able to make purchases with the funds you have authorized until a PO has been issued to Follett.
Students on the list provided to Follett will be able to begin making purchases using their financial aid on the bookstore website. Once the Coronavirus restrictions are lifted and the physical stores are reopened, students will be able to make in-store purchases with their financial aid.
After the initial account is set up, you may add or make changes to existing student authorizations as needed by sending additional requests to the college bookstore manager (see college store contact information).
External Agencies or Other Third Parties
The following instructions are for external agencies or third parties that are not part of Los Rios. Please select Government or Other Third Party (whatever is most appropriate for your particular entity) as Account Type for the Credit Account Agreement. Common examples include VA, Voc Rehab, Dual Enrollment, or Other Sponsoring Agencies/Businesses.
Complete all sections of the Credit Account Agreement for your department or agency. If a portion of the agreement form does not pertain to your respective business area, then please mark that section as N/A.
Submit the Credit Account Agreement to the college bookstore manager. Please indicate with which campus your account should be linked. If the account needs to be utilized across multiple campus store locations, then indicate "district-wide." See college store contact information.
We realize that financial aid, agency, or third-party accounts may have to send multiple communications to add students to their accounts. Please send your initial and subsequent student lists to the college bookstore manager and they will enter those students as customers under your account. The student ID number you send to us will be used as the ID number of record, so it must match the number the student would expect to use in the course of conducting campus business. For example, if the campus-issued student ID number is 0001234 and you send the student record as 1234 (without the leading zeroes), then the student will not be able to complete an online or in-store purchase.
If you do not wish to have your account enabled for online purchasing through the Follett campus store website, then indicate that in your email submission. Our assumption is that all student aid accounts will be enabled online until Coronavirus restrictions are lifted and on campus bookstores are reopened to students.
The Follett team will set up your account in accordance with decided parameters and will respond to you with the major account number(s) that have been established for the account.
Once the account is established, students may make purchases on the Follett campus store website.
